Purpose of the Job
The Programme Assistant for Polio will work under the supervision of the Health Manager for Polio/Immunization.
Your role will be to provide administrative and operational support to the polio cluster in the health section.
Your contributions will help develop, implement, and monitor UNICEF’s polio programme in Nigeria, ensuring timely and effective service delivery.
Key Functions, Accountabilities, and Duties
- Contract Processing: Assist in processing contracts for health consultants, vendors, and external partners, including preparing documents, filling forms, uploading Terms of Reference (TORs) in the VISION system, and making logistical arrangements. Maintain up-to-date vendor lists, partners, and consultant rosters.
- Invoice Management: Collect invoices, manage document filing for approval, and complete processes using VISION and My Case systems.
- Record Keeping: Prepare and maintain records, documents, and plans to monitor programme implementation and financial expenditures.
- Office Supplies and Equipment Management: Support the management of administrative supplies, polio Outbreak Response (OBR) and Intensified Routine Immunization (IBRA) supplies, and office equipment.
- Meeting Coordination: Maintain the office calendar, arrange meetings, take minutes, and organize team correspondence.
- Travel Assistance: Provide travel support to team members by arranging travel based on organizational rules and policies and liaising with travel focal points for the best services and prices.

Requirements

- Strong organizational, planning, and prioritizing skills.
- High sense of confidentiality, initiative, and good judgment.
- Ability to work effectively with people from different national and cultural backgrounds.
- Training and experience using MS Word, Excel, PowerPoint, and other UNICEF software such as SharePoint.
- Strong office management skills.
Language Requirements
- Fluency in English is required. Knowledge of another official UN language (Arabic, Chinese, French, Russian, or Spanish) or a local language is an asset.
